Here are the 4 must-haves to have a successful conversion at your centre:
Parents don't have time to call the centre back and forth just to book a tour. Make it simple and convenient for them to meet you and experience your centre. At most, parents have 5 minutes on their hand, so let them schedule tours with you quickly. Set your tour availability in ChildcareCRM and use the tour scheduling form on your website. Parents can quickly select a tour date and time and provide contact information. They’ll receive an immediate confirmation along with reminders of their upcoming tour date.

Preparing for daycare centre tours is essential - it streamlines communication and creates a level of expectation across the centre. Educators should be prepared on what to say and how to greet parents professionally as they come in. Make sure you have a general talk track for what to cover during the tour. Highlight the benefits of your centre along with anything that makes you stand apart from your competitors. Leave parents with specific next steps along with deadlines that might make them act faster. For example, explain that your pre-school program is filling up fast and they need to register by x date to ensure a spot.
There can be a lot of information to take in for a parent during a daycare centre tour. Through the tour the parents will be looking more closely at these things:
Safety of the centre
Educators – who they are, what they are like
How the children react – are they happy? Engaged in the activities?
What kind of program or activities are planned in the centre
Communication between the centre and family
Unique things in your centre that sets you apart from the others.
Make sure you are ready to talk about all of these topics!
Once the tour is complete, it's best to end the conversation by giving them information about the centre to take home:
Enrolment forms
Centre newsletter
Room information (specific to the one they will be going in)
Enter or update their details immediately into your CRM system, so you can create tasks for educators or centre directors to follow up with the family either by email, text or phone call. By following up with the family, you are initiating a relationship that makes the family feel remembered, special and excited to start at your centre.
